Financial KPIs & Dashboard

Steps 1 and 2 — Define the KPIs, their definitions and owners

The five KPIs are fixed. Go KPI by KPI, agree the definition as a group, and assign one owner to each. If definitions are unclear the data will be unreliable. If ownership is unclear it will not be tracked.

Prompts worth settling out loud. For the staff cost ratio: what counts as staff costs, and how is gross profit defined? For UxR: how do we define billable time, and how do we track recovery?

Step 3 — Build the dashboard

One page, updated monthly. If the dashboard is too complex, it will not be used.

Step 4 — Gaps and implementation

For each KPI: what data is missing, what system is required, what behaviour must change? Typical gaps are no timesheet discipline, unclear cost allocation, inconsistent invoicing, and no credit control process.
